New Paper style handout delivery works well. Roll the handout like a news paper and use a rubber band around it. Then at the house you may use the rubber band and a gate door handle, a front door knob or a garage door door lever to affix the flyer. Worked very well for Phase 1 up and down Cascade Spring Pl.

I spoke with Kyle Lutzeberger of Old Pueblo a few minutes ago, and will meet him on-site on Tuesday. He informed me that he will be staging some of the barricades on Tuesday, so that they are ready to be placed Wednesday AM, and a crew will be doing all of the necessary crack-sealing on Tuesday. Crack-sealing does not affect access for drivers; however, it may lead to some confusion from residents who have been told of later dates for the beginning of the project, so anticipate some calls. I actually think this is better because it will provide an opportunity to review the crack-sealing, note if any have been missed, etc., before sealing begins. Plan on checking the streets where cracks exist Tuesday evening and let me know if you think anything has been overlooked or poorly done.

To affix the handout to an external surface a good choice is 3M 2090 or 2097 Outdoor Tape, branded as Scotch. Any major pro grade painters exterior tape will do. Available at the Ace Hardware on Sunrise or the Sherwin-Williams across the street. Two 2-pieces, one at top center and one to hold the bottom center of the single sheet handout will surfice.

Per Google search… “No it is not okay to tape flyers to a USPS mailbox. Taping or otherwise affixing material to a mailbox is illegal, as mailboxes are intended for the delivery of postage-paid US mail only. Placing unpostage-paid materials on or in a mailbox is considered a federal offense. “

Communications Plan (and Status)
PRIMARY: A Project Flyer, with maps and address lists, will be mailed to all lots, addressed to the listed property owner. For lots with mailing addresses that are outside of the HOA area, an additional mailing will be sent to “Resident” at the HOA lot address (so we may notify if this is occupied by a renter). The expected delivery dates for this Flyer mailing is by Friday-Saturday, May 23-24.

SECONDARY: A one-page Street Closure Handout specific for each Phase will be printed by an area printer (Postal Annex, in Sunrise Village). The printer lives nearby and will drop off the handouts at a lead volunteer (to be identified), and then the Handout delivery volunteers can pickup the handouts from the lead volunteer (details to be added). Our goal is to recruit two volunteers per phase (completed), with each volunteer delivering to from 40-50 homes. We ask the paired volunteers to coordinate with each other to decide who will distribute to which streets, and to determine the schedule that works for them. Ideally, the Handouts would be distributed 2-4 days prior to the seal-coating dates.
Current volunteer assignments (proposed) were selected, when possible, based on residency within the Phase:
- Phase 1: Donn and Meg Stoltzfus, Matt Restucci. 79 addresses (90 handouts printed).
- Phase 2: Aletha and David Kalish, Dan Weisz. 102 addresses (110 handouts printed).
- Phase 3: Jeff Hartman, John Bronner. 101 addresses (110 handouts printed).
- Phase 4 and 4.2: Sally and Ron Enriquez, Gigi Bainbridge. 89 addresses (95 handouts printed).
CONTINGENCY: Signboards will posted as determined by the Lead Coordinator — primarily if there are schedule changes. A targeted email blast will also inform those in affected Phases of a schedule change.
